COUNTY EMLYN TROPHY 2008 - FINAL JOINING INSTRUCTIONS
Congratulations on being chosen to represent your District in this year's County Emlyn Trophy Competition.
Some of the following information you may already know some you may not. Please read it carefully, it is you who are responsible for your patrol.
There is a copy enclosed for your Scout Leader, who I am sure, will assist you in any way they can!
Details
Date: Friday 19th to Sunday 21st September 2008.
Venue: Foxlease, Lyndhurst, Hampshire, SO43 7DE.
Map Ref.: Outdoor Leisure 22 – 301 073.
Theme: A weekend patrol standing camp, and the construction of a special project.
Programme: You are to devise your own programme for the weekend based on the scout training scheme. This is to include participation in the special project if desired. The camp programme for the weekend is attached to help you organise your own. Flag break, Scouts own, etc. are set. This is to be returned to me, along with your entry form, by 20th August 2008.
Equipment: The equipment that you bring and use must be suitable for a 'Patrol weekend standing camp'. No toilet tents are required, as there are toilet blocks on site. We will not be looking at the standard of equipment, i.e. a new tent will not gain maximum points. But we will be looking to its suitability, i.e. does it leak. New ones can do this also.
Girl Scouts: Girl Scouts may camp within the bounds of the patrol site but must have separate tentage for sleeping in. Separate washing facilities are provided in the toilet block on site. The decision to permit Girl Scouts to camp within the bounds of the patrol site is up to the Patrol Leader's Council and the Scout Leaders concerned. Separate camping areas are available if you have requested a site on the initial application form.
Altar Fires: Patrols are to bring your own altar fire (no ground fires allowed). The fire must be of a firm and stable construction and must not exceed 70cm in height, from the ground to the grill.
If dexion is to be used, only properly constructed heavy weight dexion is acceptable, if in doubt do not use.
Wood: The site has no wood. Wood needs to be brought for fires and patrol gadgets. Any wood not used must be removed by each patrol on departure.
Polythene should only be used under the wood pile and to cover it, not to stand on when chopping and sawing
Waste: No wet pits are to be dug (surface drains only). Rubbish is to be placed in the areas indicated. Patrols are to supply own rubbish bags.
Recycling: Recycling bins are not available, but points will be awarded for positive recycling methods.
Food: Patrols are expected to bring all their own provisions for the weekend and store them properly. All food should be prepared on site. Food that is out of date will be taken away.
Note - Frozen Food - in the interests of safety, food that has been frozen must not be brought to the camp. Safety Officers will be checking and any found will be confiscated.
Gadgets: All gadgets are to be made on site. Gadget wood may be brought to site.
Cut to size will not be considered as prefabricated. Traditional Scouting
pioneering techniques only are to be used, not home DIY methods.
Sheath Knives: Sheath knives are permitted on camp, but must conform with the law and must not be longer than 7cm. This includes machetes. They must be used properly at all times and sheathed when not in use. Misuse will see them confiscated until the end of the camp and returned to your Scout Leader. It is strongly advised that clasp knives are brought and used in preference to sheath knives.

Travel: The Site will be open to patrols and their equipment to arrive between 17.00hrs to 20.00hrs on Friday 19th.
Arrival: The Patrol Leader ONLY, is to report to Scissors and Sarah in the Oaks Hut to obtain their site number and to hand in all of the Parent Permission to Attend Forms. On obtaining your site number you may unload your equipment. After equipment is unloaded all helpers are to clear the site. You may then set up your camp site.
Site set up: Following the Arrival Inspection, the patrol is to set up camp during the rest of Friday evening. Your Assistant Patrol Leader is to take over during the Patrol Leader's briefing.
Home Contact: Each patrol is to have a Home Contact who can act on behalf of the
Troop, Group and District on a number of areas.
Equipment – Replace or authorise changes to any piece of equipment that is faulty, broken or unsafe as directed by the competition safety officer.
Illness / Accident – Be called upon to act according to the Scout Association Rules.
Misdemeanours – To act in conjunction with the Emlyn Camp Staff to deal with any problems that may occur.
This Home Contact is not to be part of the County Emlyn 2008 camp. The name and telephone number must be entered on the Patrol Entry Form.
General Rules
The County Emlyn Competition is designed as a Patrol Standing Camp. For patrols whose average age is 13 years.
Each District may enter three patrols. The A team (the district’s eliminator winners) will gain automatic entry to the main County Competition. If less than thirty A teams enter, the B teams will be added to the competition. If necessary a draw will be made to select the B teams. If there is still a short fall with both the A and B teams in the competition, the draw process will occur with the entered C teams.
The total age of the patrol in whole years must not be more than :-
78 years if six in the patrol.
65 years if five in the patrol.
52 years if four in the patrol.

3. If through accident or illness a member of the Patrol is unable to attend, please contact Yeti regarding the use of a substitute. The Patrol must still meet the criteria of rule 1 and 2.
4. The parent or guardian of each Scout, must complete the Parent’s Permission to Attend the Emlyn Camping Competition 2008, which must be handed in by the Patrol Leader on reporting initially to Scissors and Sarah on the Friday evening.
5. Each Patrol entering will be asked to submit to Yeti a detailed copy of their Weekend Menu and Programme by 20th August 2008. Points will be awarded if they arrive on time.
The Patrol Entry forms have to be in by the 20th August so that we can check that everyone conforms to the first two rules. A site number can not be allocated on the day until we have the Patrol Entry form.
6. No vehicles will be allowed onto the camping field, they must be parked in accordance with instructions given by the camp staff. This is to ensure the safety of the Scouts on the camping area.
7. Adults may assist the Patrol in transporting equipment to their allotted site on arrival, but must be clear of the site before the Patrol is given permission to set up camp.
8. All visitors are to remain clear of the competition camp areas. Senior members of the camp staff will inform visitors when they may enter the competition area to assist with transporting equipment. No vehicles will be allowed onto the site. No entry to the competition area will be permitted before 14:30 on Sunday.
9. The presentation is scheduled to start at 15.00 hrs and will last approximately 1 hour, it will be altered if necessary while the competition is in progress.
10. Patrol camp sites are approximately 20 metres x 14 metres.
11. Frozen Food - in the interests of safety, food that has been frozen must not be brought to the camp.
12. All food should be prepared on site i.e. no pre-cut vegetable to be brought.
13. Alcohol – must not be brought onto site, even as a cooking ingredient.
14. Any serious misdemeanours will result in patrols being asked to leave the camp site.

Notes on the Time Table
2. The evening meal at 18.00 hrs on Saturday will be the main meal. The menu for this meal is to be of the Patrol’s own choosing, using fresh food and can only be cooked on an open fire. Points will be awarded for the fire, food preparation and cooking the finished product.
3. All other meals will be judged on the way of preparation, cooking, cleaning of kitchen areas and of course the washing-up. These can be cooked on either gas or open fire.
4. Times indicated on the programme are for the Judging of that section, each patrol will be advised by their respective judge of their actual judging times.

SPECIAL CHALLENGE TROPHY
The Special Challenges will take place on Saturday between 14.00 hrs to 16.00 hrs, and Sunday between 10.30 hrs and 11.30 hrs.
The four challenges for 2008 are
Each challenge will be judged on team work, leadership, and basic scout knowledge.
During or before Saturdays flag break, specific timings will be issued to each Patrol Leader for their Patrols participation in each of the challenges.
All Patrol members will take part in the challenges. The site judging will be suspended during these times.
2009 Special Challenge Trophy
Those Patrol Leaders who take part this year will be asked for ideas for the 2009 challenges. Perhaps you would like to give it some thought and come up with a suggestion, to be discussed at the Patrol Leaders forum on the Saturday evening.
